Human Resources & Payroll Officer


Job Description

Alfa Pte Limited is a subsidiary of CJ Patel Group that manufactures hygiene and consumer products for Fiji and international markets such as Pacific Laundry Bar, Malumu tissues and Stelow and also holds the manufacturing license for world renowned international brand Janola.

The Human Resources & Payroll Officer is responsible for managing the human resources and payroll functions at Alfa Pte Limited in line with Group HR Strategies. This position reports to the Factory Manager, Alfa Pte Limited and functionally to the Group Head of HR and CJ Patel Pte Limited.

1. Attracting and retaining talent
  • Recruitment process planned and managed as per set procedure and process            
    • recruit and retain a diverse workforce to meet the needs of the organization.                                                   
      • Interviews conducted in a fair and transparent manner at all times.
      • New employee on-boarding and induction process ensured.
      • Candidates searched from different sources on an on-going basis including
        • Participation at Careers Fairs
        • Apprenticeship Schemes
        • Attaché programs
      • Advertising, Short listing, contract preparation
      • Staff retention strategies initiated
      • Source candidates from different sources on an on going basis (Fiji and Island Branch)
  • Records and Information Management
    • Update, monitor time & attendance, leave records & personal files of employees
    • Maintaining of employees’ statistics (Employee data base)
    • Updated Vacancy list maintained by department
    • Request for Recruit processed in a timely manner
  • Human Capital management used for recruitment and competency assessment on an ongoing basis
    • Hrmonise utilized

  • Employment laws of Fiji communicated on an on-going basis to ensure a well informed team
    • Employment Relations Act 2007
    • Wages Regulation Order 
    • Any other relevant legislation

  • Orientation, induction and regulatory training  are conducted in a timely manner
    • GMP training conducted prior to entering the processing line ensured
    • OH&S , Fire Warden and First Aid training conducted yearly is ensured
  • Succession planning ensured
4. Performance management systems ensured
  • Compensation & performance management processes are assisted at all times
    • Employee probation reviews, evaluations and confirmations are carried out within time frames
  • Role descriptions are accurate with measurable outcomes
    • Hrmonise role descriptions are utilized at all times
  • Reward systems in place are transparent and consistent at all times     
    • Increments and bonuses are performance based with a clear criterion.
  • Implementation of KPI and timely review / Executing staff performance evaluations
5. Payroll functions managed
  • Time and attendance reports are timely and accurate      
    • Time sheets uploaded accurately to the Payroll software at all times   
  • Weekly and monthly payroll processing is accurate and timely
    • Weekly Payroll processed and managed in compliance with company policies and statutory requirements 
    • Payroll closure and approval by Finance Manager and General Manager ensured on a timely basis
      • Pay letter signing by signatories and disk file / online banking sent to the bank on a timely basis
  • Monthly/weekly reports are timely and accurate 
    • Monthly / weekly wages deductions reports
    • Payroll deviation reports 
    • Overtime analysis report
    • FNU Levy reports
  • Monthly FNPF, PAYE, SRL & ECAL submission all for employees to FNPF/ FRCS is timely and accurate
  • Potential issues/risks associated with payroll processes identified and escalated in a timely manner 
    • System or bank issues escalated to management for timely decision making
  • Ad-hoc information requests are addressed in a timely and accurate manner 
6. Well Informed management
  • Monthly and quarterly report is timely and accurate
    • Quarterly HR Board report
    • Monthly management report
  • Ad-hoc information requests by management and shareholders, for decision-making purposes, addressed and in a timely manner

    • Communication of Safety, Health and Environment to all team members are on an on-going basis

Work Knowledge and Experience

  1. Must have min 3 years’ hands-on experience in both human resources and payroll functions in a similar capacity preferably in Manufacturing/FMCG Industry.
  2. Strong work ethics and understanding of Employment laws, Wages Regulations, Health and Safety Act and disciplinary procedures.
  3. Performance-driven and ability to thrive on a fast-paced and demanding environment with multiple priorities.
  4. Exceptional attention to detail and computer skills
  5. Excellent presentation and communications skills (verbal and written)
