Payroll Officer


Job Description

CJ Patel (Pacific) Limited is one of Fiji’s largest distributors of locally manufactured and renowned international Fast Moving Consumer Goods (FMCG) within Fiji and most of the Pacific. The company has an extensive distribution network with major supermarkets, food service industries and down-the-line (DTL) retailers with its main warehouse in Wailekutu, Lami and supported by branch operations in Lautoka and Labasa and other regional markets such as New Zealand, East Timor, Vanuatu, Kiribati, Tonga, Samoa and Papua New Guinea.

The Payroll officer is responsible for processing payroll, remitting payroll taxes and statutory reporting and payments. The position reports to the Finance Manager, CJ Patel(Pacific) Pte Limited.

1. Payroll processing function managed
  • Weekly and monthly payroll processed in a accurate and timely manner
  • Payroll processing ensured in compliance with company policies and statutory requirements
    • Deductions and tax withholding reviewed to ensure statutory compliance
    • Internal controls, rules and regulations adherence
    • Confidentiality maintained for all payroll and employee related data, documents and information
    • Accuracy of data entry ensured
    •  Timesheet, overtime, allowance etc. calculations reviewed for accuracy and compliance 
  • Payroll closure and approval by Finance Manager and General Manager ensured on a timely basis
    • Pay letter signing by signatories and disk file / online banking sent to the bank on a timely basis
  • Time and attendance reports prepared and uploaded into the payroll system 
    • leave records updated in the system accurately
    • new employee records validated in the payroll system
  • Timely dispatch of pay slips to all staff ensured
  • Employee queries regarding pay, compensation etc. attended to
  • Regular filing and archiving of payroll documents ensured
2. Statutory and Regulatory Compliance Ensured
  • Monthly FNPF, PAYE, SRL & ECAL submission all for employees to FNPF/ FRCS ensured
  • Bi annually levy submission ensured
  • Potential issues/risks associated with payroll processes identified and escalated in a timely manner 
    • System or bank issues escalated to management for timely decision making
    • audit gaps addressed in a timely manner 
  • Ad-hoc information requests are addressed in a timely and accurate manner
    • accurate information facilitated to Human Resources, Finance and Labor department in relation to wages and compensation 
  • Participate in monthly stocktakes as and when required
  • Support and information provided during internal and external audits
3. Well Informed Management.
  • Monthly/weekly reports prepared in a  timely and accurate manner 
    • Monthly / weekly wages deductions reports
    • Payroll deviation reports 
    • Overtime analysis report
    • FNU Levy reports
    • FNU training levy claims
  • Accurate payroll information facilitated to support budgeting and forecasting activities

Work Knowledge and Experience

  1. One to two years' previous work experience in payroll
  2. Proficient in MS Word, MS Excel and MS PowerPoint
  3. Strong math skills with attention to detail and ability to spot numerical errors
  4. Good knowledge of labor and employment legislations
  5. Time-management skills and ability to handle confidential information
