Administration Assistant Officer - Project


Job Description

Solomon Islands Electricity Authority (SIEA) trading as Solomon Power is a state-owned enterprise established under the Electricity Act 1969 and governed by the State-Owned Enterprises Act 2007 and the associated regulations. Solomon Power owns, maintains, and operates the country’s national electricity grid. Solomon Power generates, transmits, distributes and sells electricity in the Solomon Islands.

The Administration Assistant Officer will provide the administrative support to the Tina Hydro Project Team within the Special project Team. It will provide the coordination of Tina Hydro project specific activities between Solomon Power and key stakeholders ensuring efficient and effective management is well supported.

1. Operational Management of the Special Project Programmes are handled efficiently in a timely manner

Special Project resources ensured and with necessary resources in place.

  • Communications - Answering and directing phone calls to relevant staff
  • Calendar Management - Scheduling meetings and appointments
  • Preparing agenda, taking notes and minutes in meetings
  • Procurement - Ordering and taking stock of office supplies for PMU
  • Central point of contact for a range of staff and external stakeholders
  • Preparing documents for meetings and business trips/field trips
  • Processing and directing mail and incoming packages or deliveries
  • Greet and direct internal/external stakeholder to the organization
  • Writing and issuing emails to teams and departments on behalf of PMU
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Accounts Payable and Accounts Receivable
  • Finding ways to improve administrative processes
  • Managing communications and correspondence with Tina River Hydropower Limited and Tina River Hydro Development Project Office
2. Well informed Management through accurate and timely reporting
  • Complete, accurate & timely reports are produced and submitted to Manager Project as scheduled
  • Assistance provided in ensuring timely, accurate and compliant financial records (claims) produced on time
  • Documents record, reports are prepared and presented accurately and efficiently to various schedules and timetables
  • Document Management - Create and maintain filing systems, both in electronic copies and physical copies
3. Compliant and upholding standard procedures
  • Compliance with the prevailing laws and Solomon Power policies and procedures whilst implementing applicable project requirements ensured
  • Expertise and guidance provided for project documentations, maintain records and to Solomon Power representative as required for project matters
  • Deliverables are complied with prevailing laws and organisational policies and procedures
4. Satisfied customers through quality service delivery
  • Effective delivery of the organisation's service quality commitments to internal  and external stakeholders are maintained at all times
5. A healthy, safe and OHS compliant Solomon Power
  • Taking reasonable care of own health and safety and for the safety of other people, including people working under incumbents supervision or direction who may be affected by his or her acts or omissions at the workplace ensured
  • Compliance with lawful direction given by Solomon Power with respect to health and safety matters under current Safety acts and regulations
