Engineering Administrator


Job Description

Solomon Islands Electricity Authority (SIEA) trading as Solomon Power is a state-owned enterprise established under the Electricity Act 1969 and governed by the State-Owned Enterprises Act 2007 and the associated regulations. Solomon Power owns, maintains, and operates the country’s national electricity grid. Solomon Power generates, transmits, distributes and sells electricity in the Solomon Islands.

The Engineering Administrator will provide the administrative support to the Engineering Management Team. The incumbent is responsible for planning and coordinating the administrative activities of the various operational units comprising the Engineering division; Generation Honiara, Outstations, Transmission and Distributions, Regulatory, and Control Centre. This role reports to the Chief Engineer.

1. Operational Management of the Engineering Management are handled efficiently in a timely manner
  • Communications - Answering and directing phone calls to relevant staff
  • Calendar Management - Scheduling meetings and appointments
  • Preparing agenda, taking notes and minutes in meetings
  • Procurement - Ordering and taking stock of office supplies
  • Central point of contact for a range of staff and external stakeholders
  • Preparing documents for meetings and business trips/field trips
  • Processing and directing mail and incoming packages or deliveries
  • Greet and direct internal/external stakeholder to the organization
  • Writing and issuing emails to teams and departments
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Finding ways to improve administrative processes
  • Managing communications and correspondence between Engineering Division its key stakeholders
  • Assist the implementation of new systems, processes, or technologies to increase efficiency
  • Maintain and update office records, databases, and files essentials
2. Well informed Management through accurate and timely reporting
  • Complete, accurate & timely reports are produced and submitted to Chief Engineer as scheduled
  • Documents record, reports are prepared and presented accurately and efficiently to various schedules and timetables
  • Document Management - Create and maintain filing systems, both in electronic copies and physical copies
3. Compliant and upholding standard procedures
  • Compliance with the prevailing laws and Solomon Power policies and procedures
  • Expertise and guidance provided for operations-related documentations, maintain records and to Solomon Power representative as required for operational matters
  • Deliverables are complied with prevailing laws and organizational policies and procedures
4. Satisfied customers through quality service delivery
  • Effective delivery of the organization's service quality commitments to internal  and external stakeholders are maintained at all times
5. A healthy, safe and OHS compliant Solomon Power
  • Taking reasonable care of own health and safety and for the safety of other people, including people working under incumbents supervision or direction who may be affected by his or her acts or omissions at the workplace ensured

Qualifications

Work Knowledge and Experience

  1. At least 3 years working experience in a similar role
  2. Proven experience in producing information by transcribing, formatting, inputting, editing & retrieving
  3. Upkeep of filing and retrieval systems; recording meeting discussions
  4. Event management: drive planning and organizing events
  5. Travel management: arrange overseas travel and accommodation
  6. Highly proficient in the use of Microsoft Office applications
  7. Excellent written and verbal communication, interpersonal skills
