Job Description

The Fiji Ports Corporation PTE Limited (FPCL) is a major player in the maritime transporting industries and the operator of commercial port facilities in Fiji.

Responsible for providing effective assistant to the Human Capital Services Team and the Talent Development and Training Unit as and when required. This role reports to the Senior Human Capital Services Officer.

Outcomes

Organisational Stakeholders
1. Human resources processes completed in a timely and efficient manner:
  • Assistance provided to Human Capital Services (HCS) to: 
    • process of weekly payroll
    • update monthly staff rosters
    • Personal folders for staff are updated and electronically uploaded to the Document Management System (DMS) and on Pay-Global (PG)
  • Documentation is maintained by:
    • filing hard copies and maintaining electronic copies
    • taking meeting minutes, maintain records and shared within departments. 
    • updating and maintaining FPCL's Organization Structure
  • Assistance provided to the HCS with:
    • compilation and distribution of staff contracts
    • the training section, setting up of rooms and materials
    • PMS and special projects are undertaken by HCS Department
    • Coordination of HCS social activities
    • Training functions
      • Assist Training and Talent Development Officer (TTDO) to develop training material
      • Assist TTDO in developing training policies and procedures 
      • Assist TTDO in maintaining the FPCL training records and documentation in terms of filing and updating record on PayGlobal (PG)
      • Assist TTDO to organize and conduct training for all stakeholders.
  • Reports submitted to the SHCSO and the HCS as and when required
  • The reception area relieved as and when required
  • Assist HCS in providing required analysis by:
    • conducting OT analysis on a monthly basis with the HRBA unit
    • preparing monthly Pilot Boat movement analysis
    • summarizing taxi claims per department submitted to SHCSO
    • assisting HCS to summarize workforce plan and strategy exercise and its progress. 
2. All departmental objectives addressed and completed in a timely and efficient manner:
  • Customer queries attended to effectively and appropriately
    • monitoring and logging of complaints accurately ensured
  • Required regulations complied with at all times
    • advise others on compliance as well 
  • Manage department Intranet page effectively
  • Assistance provided to the HCSO and the Team as and when required
3. Contributions made to the organisation's success proactively:
  • Deadlines and service level agreements met at all times
  • Any other work-related task assigned by the Management that is within the capacity of the position holder is performed; teamwork is demonstrated

Qualifications

Desirable
Degree Management/ Human Resources Management or relevant discipline.

Certificate Trainers of Training Model 1 -4 (TOT) Sound knowledge in Training Coordination and deliveries

Work Knowledge and Experience

  1. Minimum of 2 year of experience in an administrative or clerical field
  2. Good understanding of FPCL HR policies and procedures
  3. Proficiency with Microsoft Office, PayGlobal, Hrmonise, Time and Atendance software and FPCL online reporting systems
  4. Sound knowledge in Training, Training Coordination and Training Delivery
