Finance Officer


Job Description

Pacific Batteries Limited is the only automotive battery manufacturing company in the South Pacific. It caters for both local and international markets exporting to countries such as Australia, New Zealand, Tonga, Samoa, Kiribati, Papua New Guinea and Singapore to name a few.

The Finance Officer is responsible for supporting financial functions through managing suppliers, reconciliation, petty cash and accounts payable functions of the finance department in accordance with approved finance policies and procedures at Pacific Batteries Pte Limited. This position reports to the Accountant & the Finance Manager, Pacific Batteries Pte Limited.

Outcomes

Organisational Stakeholders
1. Payments Function Managed
    Purchase orders processed and delivered to suppliers in a timely manner
    • contractual payments and other routine payments
      •  intercompany payments, electricity, water, communication charges…etc.
    • based on the approved quotation (if not registered supplier)
  • Processing of GSRN based on receipt of service/goods and supplier invoice ensured
    •  contractual payments or payments based on agreements and other routine payments
    • Invoice and debit notes
  • All documentations and supporting correspondence maintained in an accurate and systematic manner for easy retrieval and reference
    • Contacts and agreements
    • signed Quotations, PO, GSRN
    • Other supporting documents
  • Payment Processing arranged and ensured in a timely manner as per payment plan
    • supporting documents attached with payment voucher
    • cheque printing, sign off and delivery ensured
    • receipts for payment vouchers obtained
  • Tax clearance (FRCA) and RBF for overseas payments obtained in a timely manner
    • before the due dates of invoices.
    • Timely liaison with the accountant 
  • Payment Plan prepared and submitted in an accurate and timely manner
  • Petty Cash maintained and reimbursement managed
    • petty cash vouchers and IOU’s approved by FM before releasing cash.
    • petty cash vouchers recorded accurately in the Bizzxe system before the reimbursement
    • summary of petty cash expenses for reimbursement prepared accurately
    • Petty cash float reconciliation ensured
2. Information integrity and transaction completeness is ensured
  • Business transactions are recorded in a timely and accurate manner 
    • Supplier ledger accounts monitored on a timely basis
      • Balances agreed with supplier statements.
      • variances reconciled and resolved
  • Reconciliations, schedules and registers managed on a timely and accurate basis
    • Inter company balances and transactions reconciled on an accurate and timely basis, by 10th of each month 
    • Registry and record keeping of source documents and reconciliations managed
  • Supplier reconciliation ensured in an accurate and timely manner
    • Statement with supplier reconciliation Vs. supplier ledger
      • Update of DCN's
      • Signed GSRN/PO/Quotations
3. Statutory and operational compliance
  • Statutory reporting is accurate, complete and timely
    • timely payment of FEA, Water, Telecom, Union, LICI, Vodafone and rentals
  • Compliance with internal finance unit policies, systems and processes ensured at all times
  • Internal and external audits are timely and accurate
4. Well informed management
  • Daily, weekly and monthly reports provided on an accurate and timely basis as and when required
5. Safe work environment promoted and ensured at all times
  • Work place safety is ensured 
    • Communication of Safety, Health and Environment to all team members are on an on-going basis
    • Occupational Health & Safety systems promote zero workplace injury at all times

Qualifications

Work Knowledge and Experience

  1. Minimum of three years' of experience in a similar financial role
  2. Costing background will be an added advantage
  3. Computer literate and good documentation skills
  4. Analytical thinking ability and good communication skills
  5. Working knowledge of accounting principles and procedures including IFRS
  6. Knowledge of reporting requirements as they pertain to the accounts receivable and processes
  7. Knowledge in other statutory requirements relating to business
