Maintenance Officer


Job Description

Jones Lang LaSalle Limited (JLL) provides real estate management services. The Company offers agency leasing, building surveying, corporate finance, cost management, development consulting, facilities management, lease advisory, planning and other services. Jones Lang LaSalle operates worldwide including Fiji.

The Maintenance Officer ensures that all facilities, equipment, and infrastructure under JLL’s management are maintained in a safe, functional, and compliant condition. Preventive and corrective maintenance activities are coordinated and delivered to support uninterrupted operations and a positive environment for tenants and staff. The role reports to the Assistant Facilitates Manager.

1. Facility Maintenance and Repair Services Are Delivered
  • Escorting, induction, and supervision of contractors and consultants.
  • Routine inspections, servicing, and maintenance of building infrastructure and equipment are carried out according to schedule.
  • Corrective maintenance is promptly identified and executed to resolve faults or breakdowns affecting operations.
  • Minor construction, carpentry, plumbing, painting, and electrical tasks are completed to maintain premises in good working order within the approved scope and qualifications of the Maintenance Officer.
  • Ensure all works are delivered to meet the necessary quality representative standard of the Australia Government, and meet or exceed local or Australian Building Codes, whichever is the higher standard.
2. Preventive Maintenance Programme Is Implemented
  • Scheduled preventive maintenance activities are undertaken in accordance with the maintenance plan.
  • Potential issues are identified early through inspections and reported to the Facilities Manager.
  • Maintenance records are kept up to date, including service logs and checklists.
3. Health, Safety and Compliance Standards Are Upheld
  • All Maintenance Office operations comply with all occupational health and safety regulations and internal policies.
  • Hazards, incidents, and near-misses (Good Catches) are reported and addressed in accordance with JLL and DFAT policies and procedures, local and Australian legislative requirements and industry best practise.
  • Equipment, tools, and materials are used and stored safely and appropriately.
4. Stakeholder Service Requests Are Actioned
  • Ensure all communication with all stakeholders in a positive, respectful, and professional manner.
  • Maintenance requests from tenants, staff or management are responded to in a timely and professional manner.
  • Communication with requestors is maintained to keep them informed of progress and resolution.
  • Feedback on completed tasks is sought where appropriate to ensure satisfaction.
5. Inventory and Equipment Are Managed
  • Tools and materials required for maintenance work are maintained in good condition and available when needed.
  • Stock levels for consumables and maintenance supplies are monitored and replenishment needs are communicated.
  • Asset and tool registers are kept accurate and up to date.

Work Knowledge and Experience

  1. Minimum 2 years' experience in a similar role, and environment would be an advantage.
  2. Proven experience in general building maintenance and repairs, mechanical systems (pumps, water heaters, HVAC), electrical systems (switchboards, generators), plumbing and drainage systems.
  3. Familiarity with local statutory and regulatory compliance for building codes and systems, and a commitment to expanding this knowledge base to include Australian Building and Constructions Codes as a priority.
  4. Working knowledge of Microsoft Outlook, Excel and Word
  5. Ability to work independently and as part of a team.
  6. Strong problem-solving and time management abilities.
  7. Physical fitness to perform manual tasks.
  8. Knowledge of workplace safety practices, ability to maintain logs and records of maintenance activities, professional and ethical conduct as a tradesperson.
  9. Trades and Construction experience.
  10. Good communication and interpersonal skills - an ability to communicate effectively with JLL, clients, and contractors.
