Job Description

The Receptionist is the first point of contact for the organisation and plays a key role in creating a professional and welcoming environment. The role provides front-desk reception services and general administrative support to the Vital Group teams, ensuring smooth daily operations. This position reports to the Executive Manager Governance.

1. Efficient delivery of front desk services ensured
  • Responding to all customer inquiries in a polite and timely manner ensured 
  • Staff, Guests and Stakeholders are greeted, served and are directed appropriately                        
  • Efficient correspondence ensured;                   
    • Incoming calls are answered promptly, and enquiries handled as best as possible or are referred to appropriate/relevant staff
    • Outgoing calls are connected for staff as requested and registered
    • Messages are recorded and relayed efficiently by appropriate mediums
  • Enquiries and incoming requests from staff and public are responded to in a timely manner as and when required                               
    • Issues are resolved both promptly and thoroughly
2. Administrative tasks and duties are completed in a timely manner
  • Efficient data entry and upkeep of communication logs
  • Lodging and following up on phone and Fax Complaints ensured 
  • Staff meetings are coordinated with relevant staff and stakeholders to ensure successful delivery
  • Administrative functions effectively provided                              
    • Photocopying, Scanning, Binding, Faxing, etc. ensured
    • Systematic filing and storage of correspondences and documents developed, secured, and maintained efficiently
    • Office equipment and supplies are monitored and requested for purchase through proper systems

Work Knowledge and Experience

  1. Excellent communication skills - verbal and written, with the ability to express thought and ideas clearly
  2. Proficient in the use of MS Office Suite
  3. Excellent computer skills and the ability to use new technology and basic office equipment
  4. Strong organisational and planning skills with the ability to multi-task, undertake work in a diligent, conscientious, and meticulous manner
  5. Excellent administrative skills, meet deadlines through an organised approach to work with the ability to prioritise and manage workloads
  6. Work experience in front line customer service, highly desirable
  7. At least 2 years’ experience in a similar role focusing on customer service and delivery
